These commercial terms explain scope selection, private quotations, acceptance, invoicing, POP review, activation, renewal, consultant and verification client fees, cancellation, refunds and licence administration.
Effective and last updated: 5 August 20261. Order and price
The Customer submits only the inputs needed to identify the applicable private quote band: annual revenue and employee count for B-BBEE solutions, employee count for Employment Equity, YES target headcount for YES, or QSE / Generic classification for verification work. No displayed band is a price or binding quote.
Each issued quotation identifies the licensed company or professional client case, product, access scope, applicable term, price excluding VAT, VAT at 15% and total payable. The Customer must accept the quotation before BEEZONE issues the VAT invoice. Quotes and invoices are valid for the period shown on them.
2. Activation and 12-month term
Paid access activates only after the Customer submits acceptable POP and BEEZONE independently confirms cleared funds. A company licence then runs for 12 calendar months from activation. If an active company licence is renewed early, the new 12-month period is added from the existing expiry date.
Company-product access applies to one measured entity and its authorised users. B-BBEE Consultant Portfolio signup is free for one practice; each managed client company is quoted according to its selected elements, full bundle, YES, Employment Equity or verification-readiness scope. Verification Agency Workspace signup is free for one agency and its authorised verification team; each separated QSE or Generic client case is quoted and invoiced separately. Only the scope stored on the accepted quotation is unlocked.
3. Renewal and expiry
Company licences do not renew automatically and no recurring monthly charge is created. BEEZONE displays renewal notices from approximately three calendar months before expiry. The Customer must request and pay a new annual invoice to continue after expiry. The free agency workspace does not expire for lack of a subscription payment, but individual case access remains subject to its invoice and these terms.
At expiry, licensed modules may be blocked while Customer records remain stored for a reasonable transition period under the Privacy Notice. A BEEZONE platform owner may extend or reactivate a licence only through authorised controls with a reason and audit record.
4. Statutory cooling-off and consumer rights
Nothing in these terms removes a right that cannot lawfully be excluded. Where the Electronic Communications and Transactions Act applies to the purchaser as a consumer, the consumer may cancel an eligible electronic transaction for services without reason and without penalty within seven days after conclusion of the agreement, and any payment must be refunded within 30 days after cancellation.
Other mandatory rights under the Consumer Protection Act or other law continue to apply where their legal scope and requirements are met. Most BEEZONE licences are purchased by companies; some consumer provisions, including the Consumer Protection Act fixed-term section, do not apply to transactions between juristic persons.
5. Cancellation outside a mandatory cooling-off right
- Before paid activation: a Customer may request cancellation and a full refund, less any lawful non-recoverable bank charge disclosed and agreed, if no paid company access or client verification link has been activated.
- After activation: the annual order is normally non-refundable because the full licence and secured company or agency workspace are made available for the term.
- Required refunds: BEEZONE will refund where law requires it, for a verified duplicate payment, or where BEEZONE cannot provide the purchased product and does not restore it within a reasonable period after written notice.
- Customer breach: suspension or termination caused by unlawful use, security abuse or material breach does not create a refund right, subject to mandatory law.
6. How to request cancellation or a refund
Email info@bee-zone.co.za with the licensed company or agency name, invoice or payment reference, product or verification case, reason and authorised contact details. Do not send passwords, banking credentials or confidential employee information.
BEEZONE may verify identity, Customer authority and payment status. Approved EFT refunds require verified Customer banking details through a secure process. Processing times may include banking time after BEEZONE approves the refund.
7. Failed, cancelled and reversed payments
An unaccepted quotation, unpaid or cancelled invoice, unverified POP or uncleared payment does not activate paid access. A reversal, fraudulent payment or unpaid invoice may suspend the affected access while BEEZONE investigates. The Customer must not submit repeated payments where a transaction status is uncertain; contact support with the quotation or invoice reference first.
8. Billing support and complaints
Use the Support page for billing questions or complaints. If a dispute is not resolved internally, any applicable right to approach the National Consumer Commission, Information Regulator, court or other competent body remains unaffected.
